Set up a chief bot that hands work to specialist bots
Tool · Grok Bot
Task · Grok Bot: multi-bot team
Time saved · 1-2 hrs to set up, then 3-6 hrs a week (estimate, not measured)
⚠️ Built from Grok Bot's official changelog as of 2026-10-26 (features can change). Bots share one computer and its files, so keep anything confidential out of folders other bots don't need. Every send, post, purchase or deletion should wait for your approval.
Steps
- Pick one workflow you repeat every week (for example: research a topic, draft the update, check it, send it to you for review)
- Create a new bot to be the chief and paste the prompt below. Its job is to route and check work, not do it
- Let it propose the specialist bots first, and say yes only to the ones you need. Give each one a description that reads like a job: what it owns, what done looks like, what it must never do
- Ask the chief to keep every brief, draft and decision as a file in one shared folder on the bot computer, so any bot can pick up where another stopped
- Run the workflow once with you watching, fix the handoffs, and only then add a routine. Avoid routines that check for new work every few minutes; they use up your usage for nothing
Prompt / template
You are my chief of staff bot. You don't do the work yourself: you route it to specialist bots, check what comes back, and bring me only what needs a decision. Workflow to run: [e.g. every Monday, research [topic], draft a one-page update, fact-check it, and send me the draft]. 1. Propose the specialist bots you need (no more than [3]), each with a one-line job description. Wait for my OK before you create any. 2. Keep all handoffs in /workspace/[team-name]/: one file per brief, draft, source list and decision log. Don't rely on chat history. 3. Every piece of work passes three checks before it reaches me: the sources are real and current, the claims match the sources, and nothing irreversible happens without me. 4. Bots may research, draft, summarize and check on their own. Anything that sends, posts, spends, signs or deletes waits for my approval. 5. After each run, tell me in 5 lines what got done, what got stuck, and which handoff to improve.
